This full-time position plays a vital role in managing key programs for the South Baldwin Chamber Foundation, including educational initiatives, scholarships, and workforce development efforts. Position Summary
The Program & Development Coordinator plays a central role in supporting the South Baldwin Chamber of Commerce and the South Baldwin Chamber Foundation. This position is responsible for managing the Foundation’s key educational, scholarship, and community initiatives, while also providing essential support for governance, fundraising, and future workforce development efforts.
This is a dynamic role that requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities effectively. The Coordinator will serve as the administrative backbone, ensuring clear communication and successful execution among internal teams, volunteers, sponsors, and community partners.
Key Responsibilities
Program Management & Logistics

Develop, update, and manage annual applications, recruitment, and required documentation for all Foundation programs.

Coordinate all logistical aspects of student, teacher, and community-focused programs, including scheduling, procurement of materials/incentives, and ensuring participant compliance.

Facilitate participant and volunteer recruitment, manage communication, and coordinate volunteer opportunities.

Capture, edit, and maintain visual assets (photos/videos) for program documentation and marketing purposes.

Oversee annual scholarship process, from generating applications to managing student/sponsor notifications and follow-up.

Process scholarship transactions (check requests, deposits, acknowledgments) and maintain accurate records and reports.
Governance & Board Support

Serve as the primary administrative support for the Board of Directors and related committees.

Manage aspects of meeting coordination: scheduling, distributing virtual links, preparing and distributing full meeting packets, and sending reminders.

Record, compile, and distribute accurate meeting minutes.

Maintain and update essential organizational records.
Development, Events, & Outreach

Assist with the logistics and execution of major fundraising and recognition events, including securing sponsors, honorees, dignitaries, and vendors.

Manage operational details for community meetings, including scheduling, agenda creation, and coordinating catering and sponsorships.

Support communications and administrative tasks related to donor development and future workforce development initiatives.

Assist with updating and maintaining program-specific website pages for workforce and foundation initiatives.
Qualifications

Strong background in program coordination, project management, or non-profit administration.

Demonstrated attention to detail and exceptional organizational, time management, and multitasking skills.

Excellent written and verbal communication, with the ability to interact professionally with diverse stakeholders.

Proficiency with Microsoft Office Suite, Google Workspace, and experience with database or application management systems (e.g., AwardSpring).

Ability to take initiative, work independently, and drive projects from planning to completion.

Experience with event planning, volunteer management, and basic media capture/editing (photography/video) is preferred.
